Job purpose
Our client is looking for a Logistics Coordinator with plenty of hands on experience spanning over 5 years overseeing Projects, Operations, Transportation, and Distribution. The incumbent will be responsible for coordinating all logistical matters, negotiating contracts, coordinating appointments, ensuring on time delivery, streamlining inbound & outbound freight, shipper & carrier communication. liaising with the client’s customers by providing them with timely updates on progress of movements/clearance, responding to quotations within the stipulated timeframes, and providing accurate sale projections for management.
The incumbent will report directly to the Project manager, while working closely on a daily basis in collaboration with other sectors of company in the performance of
his/her duties and responsibilities.
• Responding to Request for Quotation by preparing Quotations through close liaison with the field offices.
• Preparation of sales invoices on completion of a task order
• Overseeing incoming and outgoing shipping activities to ensure accuracy, completeness and conditions of shipments.
• Determining shipping priorities, work assignments and shipping methods required to meet shipping and receiving schedules from the client.
• Inspecting loading operations to ensure compliance with specifications.
• Monitoring deliveries, ensuring customer satisfaction and maintaining accurate logs of all transportation and goods.
• Liaising with transporters/subcontractors to agree transport costs, ensure the best possible solutions are found that fits the client’s requirement.
• Continually reviews freight costs, transportation rates, to ensure value for money and sustainability.
• Streamlines shipping and transportation processes
• Ensure transporters/subcontractors contracted in clearance, or warehousing are operating in compliance with laws and regulations regarding transportation, including hazardous materials.
• Liaising with clients on the status of their shipments and clearance activities.
• Build excellent relationships with clients who are under immense pressure by Investigating and solving customer problems and issues including documenting and reporting all updates to clients in a timely manner.
• Communicate effectively with clients, couriers, sub-contractors and other operational departments on task at hand.
• Attending PRM meeting with the client updating them on progress and achievements of tasks received, challenges as well as the lessons learnt.
• Assisting the project manager in proposal writing in the financial proposal preparations by providing competitive prices from service suppliers.
• Assist in the preparation of Audit requirements and Special projects.
• Create, manage and monitor the overall logistics and customer service department budgets.
• Manage customer service activities including customer satisfaction, handling customer complaints, regulatory requirements, and quality assurance.
• Ensuring accounting entries for data processing.
• Preparing all invoicing and posting them to the proper accounts per project.
• Proper filing of all documents pertaining to the above tasks.
• Any other duties assigned
Mandatory Required Skills Sets
• Sound knowledge of Kenya- Customs Clearance procedures.
• Previous experience working in the Logistics sector in Mombasa Base, including KPA (Kenya Ports Authority), KMA (Kenya Maritime Authority)
• 5 years’ Experience managing logistics projects.
• CPA certified, Part 2, or Part 3
• Excellent interpersonal relations particularly in being customer centric.
