Hand in Hand Eastern Africa (HiH EA) is a registered NGO in Kenya and Tanzania and is part of the Hand in Hand global network. The organization started operations in Kenya in October 2010 and is currently operating in 21 Field offices within 26 out of 47 Counties in Kenya. HiH EA has so far mobilized, trained and is training over 300,000 members (80% women, 40% youth) who have created over 296,000 enterprises (30% eco-enterprises) and over 400,000 jobs on the Kenyan programme.

The organization works with marginalized communities in the areas of economic and social empowerment using a participatory approach aimed at helping people fight poverty and vulnerability. The Hand in Hand enterprise and job creation approach is based on a philosophy of self-help, providing training, skills and support to enable people living in poverty, particularly women, to build and sustain independent, market-based, economic activities. This provides for a higher level of income for them and their families, which in turn contributes to greater food security, better education for children, increased access to healthcare, improved housing and overall improved livelihoods.

SUMMARY ACCOUNTS ASSISTANT – JOB DESCRIPTION AND SPECIFICATIONS. REF.NO: HEA AA-02/2021 (1) POST
The position is responsible for timely and efficient processing of accounting transactions; preparing, maintaining and storing accounting records; and providing accounting statements and reports in line professional standards, and the organisation’s policies, procedures, structures and systems.

Duties and responsibilities
• Facilitate timely reimbursement of petty cash through tallying, cheque writing and processing/authorisation of the data in the accounting system.
• Process and write cheque to suppliers, ensuring adequate supporting documentation and approvals.
• Undertake monthly reconciliation and monitoring of accounts receivable and accounts payable on a monthly basis and prepare reports for management action.
• Verify and approve loans from the branches in the accounting system.
• Write cheques for loans to members, ensuring adequate supporting documentation and approvals.
• Facilitate timely member savings refund through reconciliation of member savings with system data, cheque writing and approval of the refund transactions in the system.
• Undertake monthly HQ bank and petty cash reconciliation.
• Undertake timely data input/positing of HQ transactions in the accounting system.
• Raise journals to correct posting and other automated transaction errors in the system and submit to project Accountant for approval.
• Assist the Project Accountant in analysing project reports.
• Coordinate dispatch of send and receive parcels and mail from Branches.
• Maintain safe use and custody of passwords for computerized accounting systems.
• Maintain safe and proper records by filling source documents, vouchers and any other supporting accounting documents for future references.
• Adhere to legal requirements, professional standards and the policies, procedures, structures and systems of HiH EA and donor regulations.
• Undertake any other assignment as may be directed by the Supervisor from time to time.

Specifications
• CPA Part II.
• One (1) year experience in a similar position.
• Working knowledge of computerized accounting and other computer application packages.
• High level of integrity to be able to handle assets, cash and cash related transactions.
• Good interpersonal skills to be able to relate to people of diverse backgrounds.
• Attention to detail to be able to scrutinize payment supporting documents before effecting payment.
• Good analytical skills and report writing skills.
• Basic auditing skills.
• Effective communication both oral and written in English and Kiswahili.
• Good organizing skills.
