Job Description/Requirements

JOB TITLE:Administrative and Finance Assistant

OBJECTIVE:To enable the
work of the project by handling project administration and finances as
well as contributing to project communication, content, planning and
reporting.

The World Council of Churches (WCC) is an ecumenical
fellowship of churches founded in 1948, which brings together 350
Christian denominations from all over the world and promotes Christian
unity in faith, witness and service for a just and peaceful world.

Launched in 2002, the Ecumenical HIV and AIDS initiatives and advocacy (WCC-EHAIA)
promotes HIV competence among churches and works with theological
institutions to integrate and mainstream HIV into theological curricula
as well as addressing the root causes of the pandemic. WCC-EHAIA
intentionally involves people living with HIV, people with
disabilities, adolescents, youth, women, men, grandparents, sex workers,
injecting drug users, prisoners, migrants, sexual minorities and other
marginalized groups and ensures that church leaders and theologians
engage all those who are usually excluded.
For its office based in Nairobi, Kenya, the WCC-EHAIA is looking for a:
Administrative and Finance Assistant (W/M) at 100%, based in Nairobi, Kenya.

SPECIFIC RESPONSIBILITIES:
Management of payment processes; Conducting general accounting, financial monitoring, controls and reporting;
Reconcile total receipts, by cash, credit card or automatic debit,
and identify unpaid invoices; issue reminders; report status to the
manager
Work together with the WCC financial accountant on bank
reconciliations, debtors’ reconciliations, treatment of internal
transactions, preparation of Financial statement;
Ensure delivery of financial information and reports to the WCC financial accountant for the monthly closing procedures;
Assist the manager in documentation of procurement processes and
supplier selection; prepare orders for approval; monitor stationery
supplies; follow-up on maintenance contracts in consultation with the
manager;
Assist in organizing, filing, and archiving information of the office; maintain and update address lists for the database;
Cooperate in general administration of all matters and correspondence related to the work of the project, according to needs;
Cooperate in organizing travels and facilitating visa procedures;
Cooperate in the organization (administrative and logistical tasks) of meetings and conferences;
Cooperate in the production and dissemination of the projects’ activity reports, etc.;
Participate in the programme meetings and contribute to the overall
work of the project, also undertaking other duties as determined;
Undertake other duties related to the job as assigned, including
replacement of other staff as necessary due to absence, or as requested
by the general secretary via the line management:
QUALIFICATIONS AND REQUIREMENTS:
WCC-EHAIA staff shall demonstrate capacity to display commitment and
lend practical support to the ecumenical movement and WCC fellowship of
churches through the following competencies:
Knowledge and abilities within the field of expertise.
Ability to innovate and propose improvements in working tools and methods.
Proven ability to implement organization policies, positions and contribute through interventions in the field of expertise.
Ability to collaborate with other specialists.
Ability to manage project (planning, monitoring, reporting and evaluation).
Ability to listen to and comprehend the diverse needs of the organization.
Ability to represent, communicate and interpret the WCC vision, activities and priorities.
Work in a flexible, collaborative and collegial way with respect to confessional and cultural diversity and gender sensitivity.
Work in more than one of the WCC working languages.
