Duties and Responsibilities
The duties and responsibilities are as follows:
I. Managerial Roles and Responsibilities
a) Set Key Performance Indicators (KPIs) for the department and follow up for accomplishment and handling non-conformance.
b) Supervise with the Declaration Team and Bonds Officers to ensure our Bonds are cancelled in time to avoid deferred costs.
c) Delegate work to all the team Members and ensure that they work as a Team to achieve set standard requirements per company guidelines;
d) Appraise the performance of the department’s staff and also taking disciplinary measures when required in liaison with HR department.
e) Ensure company policies and procedures, statutory legislation is adhered to in the department.
f) Coordinate the strategic planning of the operations of ICD, JKIA and Mombasa port
g) Prospect, market and participate in tenders and development of quotations to potential customers.
II. Operational Roles and Responsibilities:
a) Guide clients on clearance processes in Kenya as per their requirements with SOPs in Place, including checking and approving their draft documents before they are finalized;
b) Receive all pre-alerts for all Airfreight, Sea freight, Transit and Transshipments including Local imports and Exports by sea and road and forward the documents to the concerned parties;
c) Coordinate the handling all queries and information on shipments from Origins and/or Clients
d) Prompt positive liaison with all Ground Staff & Transporters for all Local & Transit Road Shipments including customs clearance etc.;
e) Ensure all operations documents are kept in good order & in right places within the office as per its set processes;
f) Approve all invoices before the submission to respective clients;
g) Liaise with Customs Authorities, KPA, Shipping lines, Airlines or Ground Handlers as & when required when there are disputes or queries or mis-handled or mis-performed by others or juniors during its clearance processes and to ensure prompt positive results to the Customers;
h) Address customer issues and ensure overall customer satisfaction;
i) Seamless coordination with Transporters to ensure efficient loading at the port and ICD, offloading at client premises as well as return of empties back to the shipping line;
j) Ensure customer satisfaction to retain the clients and responding to their queries;
k) Ensure all regulatory requirements to engage in clearing and forwarding business are met.
III. Perform any other duties as may be assigned from time to time

a) Effective management of clearing and forwarding operations
b) Submission of accurate, timely and relevant reports;
c) Effective management of the departmental team to ensure achievement of the set goals;
d) Enforcement of relevant guidelines, rules and regulations
e) Effective communication of all company policy guidelines;
f) Efficient liaison with external stakeholders.
Knowledge and Skills Required:
The jobholder must possess:
a) A minimum of Bachelor’s degree in a Business related field;
b) A minimum of 5 years relevant experience with a minimum of 2 years in a managerial role;
c) Must have a diploma in clearing & forwarding course, or any other related course from a recognized institution;
d) Must demonstrate effectiveness in holding conversations with customers and giving progress reports;
e) Must demonstrate a thorough knowledge and understanding of customs legislation, tariffs, import/export documentation, customs clearance, bond management and customs declaration;
f) Must demonstrate knowledge and understanding of clearing and forwarding regulations
g) Must be well conversant with port operations procedures;
h) Must have good knowledge of government procedures relating to imports & exports knowledge of customs laws pertaining to Kenya, East Africa;
i) Must demonstrate the ability to maintain good working relationships with all the stakeholders;
j) Must demonstrate ability to work independently;
k) Must demonstrate good supervision skills and be a good team player;
l) Must be flexible in work habits and schedules;
m) Must demonstrate high integrity and ethical practice;
n) Must demonstrate commitment to operational effectiveness;
o) Must have knowledge in use of MS office packages.
