Key ResponsibilitiesTo provide full personal assistant support by dealing with all correspondence and calls.To proactively manage and coordinate the diary of the Chief Executive by prioritizing and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided.Tracking of progress on agreed issues; follow-up with focal points on deadlines, commitments made, actions taken and coordination of submission of Senior Management's reports in preparation for relevant meetings and completion of all action items.Maintains short, medium and long-term diaries for the CEO, making necessary travel, meeting and other arrangements for appointments.Makes administrative arrangements and plan for internal and external meetings, conferences and attends as necessary; to ensure the CEO is fully briefed for meetings, including recommending solutions where appropriate.Liaises with external bodies with which the CEO requires representation and is involved in as required.Maintain effective filling and data storage including emails and retrieval systems.Drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the CEO.To coordinate meetings of the Senior Management Team by drafting and collating papers and reports, preparing manageable agendas, taking minutes, and following up on actions points.Ensures that all follow-on phone calls, correspondence, and paperwork, is completed in a correct, organized and thorough manner.Research and follow up of business contacts made through networking and providing feedback to CEO and general management.To provide support for Board of Director meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers, and reports, and following up action points.Supporting the Chief Executive to keep the Board of Directors informed about the work of the organization and their appropriate training and induction.To plan and manage key organizational events such as AGM, Staff and Volunteer conference, Strategy days, Staff briefings and others as required.QualificationsRelevant Bachelor's degree.Must have a minimum of 5 years' experience as an executive personal assistant for a CEO and board.Must have exceptional problem-solving, organizational, verbal and written communication skills as well as high emotional intelligence.Strong ability to establish priorities, work within tight timelines and multi-task.Must maintain strict confidentiality.Expert knowledge of Microsoft Office packages particularly Excel, Word and PowerPoint.Deadline for applications:15th April 2024
