Reports to: Chief Executive Officer
The primary objectives of the Finance & Administration Officer role are:
To ensure that all financial and office management including statutory compliance systems are in place and adhered to.
To ensure that the appropriate financial and administrative infrastructure is in place to support the provision of the organization’s services to its staff, clients, business partners and the general public including strategic financial planning.
Key Responsibilities:
To maintain an efficient working office environment, including management of office accommodation, equipment and supplies, office health and safety, including IT and online support.
To develop, implement and embed efficient office processes and procedures to meet legislation, data protection requirements and best business practice.
To provide general staff administration and ensure personal adherence to the organization’s HR Manual and oversee adherence of staff to the same.
To ensure that creditor, debtor and debt management processes maximize organizational financial outcomes.
To ensure effective management of the organization’s cash-flow including cash-flow budgeting and forecasting.
To produce and provide monthly management accounts to the CEO and relevant budget reports.
To support the CEO in production and presentation of Finance reports for Board meetings.
To maintain an efficient, timely and compliant payroll function.
To ensure compliance management including statutory compliance and taxation (annual accounts and audit, NHIF, NSSF, PAYE, VAT, etc.).
To work with the management team to maintain the company’s and individual project budgets.
To develop and maintain policies relevant to the organization’s financial management.
To manage the register of contracts, assets and security of assets.
To manage insurance and loan/borrowing arrangements.
To provide strategic financial planning of the organization in conjunction with the CEO and the Finance & Planning Committee.
To work with the management team and the Finance & Planning Committee to develop and implement budgetary system improvements.
To perform any other duties as directed by the CEO.
Job Requirements:
i. Education and Training:
A Degree in Business Management, Finance or equivalent and CPA (K) qualification.
ii. Job Experience:
At least three (3) years’ experience in key facets of financial management such as, among others, developing and maintaining budgets and cash-flows, overseeing creditors and debtors, statutory compliance.
iii. Other Competencies:
Proficiency in accounting packages
Excellent IT skills with strong knowledge of Excel and Word
Strong planning and organizational skills
Excellent interpersonal, motivational, written and oral communication skills
Strong analytical and decision-making skills
Strong stakeholder service focus
Ability to work as a member of a team, to motivate, provide direction and influence
Good negotiation skills
Ability to work confidentially, with tact and discretion
