Key Responsibilities

Organizational:
• Develop and implement approved HR policies that are in line with country best practises and labor laws;
• Communication of all policies to staff
• Onboarding
• Draw up country manpower plans on a regular basis, discuss with Brand CEO and communicate approved plans and conducting placement activities for approved vacancies;
• Organise the recruitment, hiring, selection, vetting and onboarding process for country’s employees, following company Recruitment policy and procedure;
• Ensure all employees have read the HR handbook and are trained/ familiar with the company’s policies;
• Ensure new employees are reviewed and contracts are confirmed in writing on time;
• Manage all employee records in a confidential manner, including recruitment and exciting records;
• Organise training on topics that lead on staff welfare and management;
• Ensure all employees have a job description, performance objectives set, appraisal forms are signed and appraisal is conducted as per company policy and procedure;
• Organise timely monthly payroll and approve for payment following approval from business CEO and in line with payroll policy and procedure;
• Lead disciplinary and grievance processes;
• Lead in investigation of employee issues that need to be resolved;
• Organise the employee separation process by following the company approved Separation Policy and procedure;

Reporting:
1. Formal written reporting:
• Weekly progress reporting as per provided reporting format
• Timely submission of monthly management report to Business CEO for review and to Group Head of Talent for reporting purposes.
2. Formal verbal reporting:
• Weekly personal meeting with Brand CEO(‘s)
• Take part in Country Management meetings, chaired by Brand CEO
• Any meeting that is applicable regarding providing local management sufficient HRM support.

Functional:
• Gain a deep understanding of business operations and how staff productivity impacts the bottom line;
• Source, attract, setup for interviews, interview, assess, vet, select, negotiate for package and contract employees from category managers and below;
• Have deep understanding of country labor laws and guide management on execution of decisions that will not lead to legal battles with employees;
• Lead in executing all placement on performance improvement plans and management of the process in line with company policy and procedure;
• Ensure decision made and executed are in line with country labor laws and in line with company policy and procedure;
• Provide guidance / advisory service on best HR practises to the business CEOs and category managers;
• Counsel staff on issues that affect their productivity;
• Ensure changes to staff role, salaries or communication on disciplinary etc are recorded on signed written record;
• You must be able to positively connect with all level staff and managers, gain and maintain their trust and confidence, as well as maintain confidentiality of all information that you become aware of during the execution of your duties;
• You must ensure all existing employees have valid, updated and compliant JDs, employment contracts, appraisal forms and any other written communications signed and kept on file in a locked up area;
• You must be organized, able to multi-task and deliver on multiple requests in a compassionate, legally compliant and timely manner;
• Must be able to guide for team performance, motivation, coach, counsel and develop the teams;
• You will be required to guide the Group Head of Talent and business CEOs on appropriate high potential and high performing employees retention strategies;
• You must be able to assist in detecting development needs of the employees as a group and as individuals and organise training;
• You must be able to handle meetings with staff in which sensitive information is being transmitted e.g. hold town hall meetings, disciplinary meetings, grievance hearings, informing staff that they are being terminated or demoted or being made redundant;
• You may be required to build and control a HR budget;
• You must understand how to handle payroll and its process in close cooperation with Finance Department;
• You will be required to participate in appraisal meetings;
• You will be required to draft different written communications e.g. salary change letters, termination letters and many others as directed;
• You will be required to successfully ensure management of employees by following company policy and procedure on work attendance, leave, conflicts of interest;

Key Relationships
• Internal stakeholders: Business CEO(s), Group Head of Talent , local Category Managers, Finance Department, and all local Employees.
• External stakeholders: including labor lawyers, training institutions, labor related regulatory bodies, vendors related to execution of employee activities

Key skills and competencies

Skills
• A bachelor’s degree in business related discipline, pref. graduated in HRM or holds a diploma in HR;
• Certified HR practitioner by a governing body in the country;
• At least5 years progressive experience in a role that requires a generalist HR professional;
• Basic knowledge of various employment laws and labor practises in the country;
• Skilled at working effectively with and in leading cross functional teams in a matrix and virtual teams environment;
• Proven working experience in payroll management, disciplinary & grievance, performance goal setting, feedback and appraisal meetings, PIP management, employee separation, new employee onboarding and orientation, employee interview process, vetting, negotiating and contracting;
• Proven ability to prepare HR reports and distribute;

Competencies
Very strong in oral and written communication in English incl. interviewing skills.
Excellent interpersonal abilities, has a basic understanding of psychology;
• Ability to work with various departments and foster teamwork;
• Ability to work independently with minimal supervision;
• Database management and record keeping;
• Ability to maintain the highly confidential nature of the job requirement;
