Job Summary
Responsible for managing the Firm’s debtor’s portfolio ensuring timely payments are made, processing incoming funds, reconciling fee notes, resolving account queries and managing debt recovery. This includes ensuring that the Firm’s debts are collected within the agreed timelines by implementing set credit policies and procedures, timely and accurate resolution of the Firm’s concerns. The person should also support the business development team through timely provision of client related information such as statements and credit notes.

DEPARTMENT: CREDIT CONTROL DEPARTMENT
REPORTING TO: THE MANAGING PARTNER
The Role
Key Responsibilities and Duties Include:
• Create credit control policy and procedures for the Firm
• Formulate and implement collection strategies to ensure timely client payments.
• Conduct business operations in compliance with standard credit policy and procedures, manage the credit control processes to ensure that collections are done on time and in full.
• Ensure prompt and proper allocation of clients’ receipts.
• Ensure debtors’ balances are correctly stated in the system and statements promptly sent out to clients.
• Ensure daily, weekly, monthly, quarterly and yearly targets for cash and aged debt collections are met.
• Prompt preparation of client account reconciliations ensuring all variances are investigated and resolved.
• Make recommendations to the Partners on agreements relating to client instructions and accounts, necessary client payment schedules and decisions regarding instructions.
• Compute client discounts and post credit notes for the discounts issued to the clients on time in the system
• Record and provide timely reporting of information about financial status of client and documents status of collection efforts, keeping the partners appraised of account status.
• Keep updating and implementing credit control policies and procedures
• Ensure aged debtors are escalated to the Managing Partner for action on time
• Effectively understand, communicate with and manage client expectations so as to ensure an amicable solution is reached in regard to collection of owed debts.
• Identify accounts that may present a business credit risk, require credit hold, or outside collection.
• Handle internal issues and ensure timely payment to creditors
• Maintain regular contact with clients to ensure proper management of debt
• Ensure prompt reply to client and internal feedback
• Propose irrecoverable debts to be written off or they may employ strategies to recover receivables in cases of debtor bankruptcy
• Proffer recommendations and advice on queries regarding accounts receivable
• Monitor payment history to identify changes in reparation and take necessary actions
• Assist in Business Development and Client Service activities
Qualifications for Head of Debt Collection
Requirements
• A Degree in Business Administration or Finance or its equivalent. Diploma in Credit Control an added advantage
• CPAK, ACCA or its equivalent
• Conversant with SQL based database, Tally or other computer accounting packages
• At least 5 years’ experience in Credit Control
Administrative Support
• General support to all tasks

• Communication skills - well versed in communicating with debtors through calls, emails or letters to facilitate debt repayment.
• Ability to follow SOPs
