AEC Kenya is an affiliate of the African Entrepreneur Collective. Founded in 2012, AEC is a 150-person organization that seeks both social impact and financial sustainability. AEC has worked with more than 25,000 entrepreneurs across East Africa, ranging from refugee entrepreneurs to tourism businesses to agriculture exporters, all with the goal of creating jobs and improving livelihoods. The company has operations in Kenya, Rwanda, and will soon open in Ethiopia, Jordan, and Lebanon.

AEC Kenya is looking to hire qualified, dedicated and highly talented team members who will ensure that the company has skills needed to facilitate its business operations and growth.
WHAT YOU WILL DO:
AEC Kenya seeks a highly talented and experienced Loan Administrator professional to work with the Loan team in order to serve our clients in Kakuma. AEC Kenya Loan administrator is responsible for the items below:

Responsibilities

Kiva documentation and compliance (30%)
Ensure borrowers profiles meet Kiva standards,

Select photos of entrepreneurs, have those sign photo waivers,

Prepare Kiva report on monthly basis and other departmental reports,

Write compelling descriptions of borrowers in English and post them to the international Kiva platform for fundraising,

Prepare documentation for new approved loans to be posted on Kiva website,

Ensure 100% of loan repayment schedules are matching with Kiva repayment schedules - on kiva platform,

Coordinate with lending staff to get all loan documentation needed for fundraising,

Adhere to credit policy TAT for Kiva fundraising and meet clients’ needs,

Ensure that we are adhering to the requirements of our Kiva partnership, including reporting and journaling,

Ensure that all loan documentation are updated appropriately in the system so that the Kiva fundraising tasks are performed easily.

Department Admin Support (30%)
Be the lead taker of Investment committee meeting minutes and other department meetings,

Be the lead administrator for AEC Kenya’s Loan Management System powered by (Odoo), tracking all borrower information, including payments, disbursements, and contact information.

Track, file and report on compliance with disbursements, collection and other non-financial matters.

Create reports on loan disbursement, closings loans and active loans.

Constantly create and update the loan data in the system.

Actively participate as a key staff in the weekly Portfolio Review Meeting

Other duties as assigned by supervisor

Coordination with Finance (10%)
Perform various accounting processes that deal with receipts, payments and checks issued,

Initiate collection activities on the past loan due.

Identify signs of unusual or suspicious loan activities and make recommendations to minimize the risk factors.

Loan Compliance and Reporting (10%)
File and maintain loan contracts, legal documents and other documents in a safer way (both paper and electronic) and meeting AEC Kenya filing standards,

Manage communication with lending and other department staff and perform regular investigation to resolve all customer issues efficiently.

Analyze and identify all fee discrepancies in loan processes and perform regular audit on processes and ensure compliance to all requirements.

Assist with the preparation of annual reviews for projects in the loan fund,

Collect and share financial reports and other relevant information to BDM/Loan manager and Loan Portfolio Director.

Prepare timely and accurate reports for Kiva, loan committee, CBK, and other stakeholders.

Loan Closing and Disbursements (20%)
Ensure that loan disbursement adhere to investment committee approval decisions and policies

Review and prepare requests for loan disbursements and ensure 100% compliance with loan investment committee decision such as approved loan amounts and conditions for approval.

CANDIDATE QUALIFICATIONS
The Loan Administrator will be a trusted staff of AEC Kenya clients. We are looking for someone with incredible attention to detail who can be sure that all of our operations and communications are in the highest order.
Basic qualifications include:
Strong English writing and reading skills is STRONGLY preferred,

a university degree in finance or other related field,

Must speak fluent English, and Swahili. Other languages are an additional asset,

Experience in loan management and access to finance for MSMEs in Kenya is a preferred,

Very strong attention to details and good follow through,

Ability to work well under pressure and ability to multitask,

Unrelenting perseverance, personal integrity, and critical thinking skills,

2+ years of work experience in relevant or applicable field.

Must be able to legally work in Kenya.
