The Kenya Medical Research Institute (KEMRI) is a State Corporation established in Kenya in 1979 through the Science and Technology (Repealed) Act, Cap 250 of the Laws of Kenya and as currently established and dully accredited to continue to operate as such under the Science Technology and Innovation Act, 2013 as the national body responsible for carrying out research in human health in Kenya. KEMRI’s vision is “to be a leading centre of excellence in human health research” and its mission is “to improve human health and quality of life through research, capacity building and service delivery”.
KEMRI seeks to recruit dynamic, innovative and experienced persons to fill the following position:-
OFFICE ADMINISTRATOR, JOB GROUP KMR 6 – 1 POSITION
Responsibilities
i. Recording dictation in shorthand and transcribing it in typewritten form; typing from drafts, manuscripts or recording from dictation machines;
ii. Processing data; ensuring security of office records, equipment and documents, including classified materials; ensuring integrity and confidentiality of data;
iii. Management of e-office;
iv. Operating office equipment; managing of office protocol; coordinating travel arrangement and office itineraries;
v. Prepare schedules of meetings and appointments;
vi. Ensuring security, integrity and confidentiality of office data;
vii. Implementing and monitoring procedures for record keeping of correspondence and file movements;
viii. Preparing responses to routine correspondence;
ix. Maintaining an up to date filing system in the office; managing office protocol etiquette;
x. Managing office petty cash; supervising office cleanliness; handling telephone calls and appointments; and ensuring security of office records, documents and equipment.
xi. Background in working in a law firm or busy legal office with basic knowledge of conveyancing is an added advantage
xii. Handling litigation files on a day to day basis and bringing up matters coming up in court.
xiii. General Law office duties.
b) Person Specifications
For appointment to this grade, a candidate must have:-
i. At least five (5) years relevant work experience;
ii. Kenya Certificate of Secondary Education mean grade of C- with at least C (Plain)
in English or Kiswahili or its equivalent qualification from a recognized institution.
iii. Bachelor’s degree in Secretarial Studies or Bachelor of Business and Office Management from a recognized institution;
OR
iv. Bachelor’s Degree in Social Sciences AND a Diploma in Secretarial Studies from a recognized institution;
v. Business Education Single and Group Certificates (BES and GC) Stages I, II and
III from the Kenya National Examinations Council in the following subjects:
(a) Shorthand III (minimum 120 w.p.m.);
(b) Typewriting III(50 w.p.m.)/Computerized Document Processing III;
(c) Business English III/Communications II;
(d) Commerce II;
(e) Office Practice II;
(f) Office Management III/Office Administration and Management III;
(g) Secretarial Duties II;
OR
Diploma in Secretarial Studies from the Kenya National Examinations Council;
vi. Proficiency in computer applications; and
vii. Fulfill the requirements of Chapter Six (6) of the Constitution.
