Who we are
St. Joseph the Worker Catholic Church was established in Kangemi (Nairobi) in 1985 by the Jesuits of the East African Province.

The Saint Joseph the Worker Development Office was created for the purpose of managing and coordinating the various development projects that Jesuits implement in Kangemi. These projects seek to promote a society free from all forms of discrimination, in which everyone have the opportunity to develop their full potential. Over the years, the Development Office has striven to accompany the empowerment processes of the most vulnerable and impoverished persons and communities, survivors of Gender Based Violence, People Living with HIV/AIDS within Kangemi location.

JOB DESCRIPTION
We are looking for a responsible Programmes Finance Officer to coordinate the finance operations as per St. Joseph Development Programme policies and guidelines. The Programme Finance Officer will report directly to the Director. The responsibilities include working closely with all programmes under SJDP. He/she will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries.

Programmes Finance Responsibilities
Finance Work
• Preparing timely and accurate financial reports in line with the relevant narrative reports and in compliance with the donor agency requirements on financial reporting.
• Cross-checking the receipting and balancing of the funding by the Development Programmes Office.
• Ensuring that all project FUNDS are properly accounted for and relevant/necessary documents are attached.
• Carry spot checks on Petty cash transactions handled by the Accountant assistant.
• Review of donor progress reports and update the Director on emerging and status of Reports as well as participating in budgetary preparation process.
• Participating in the development and implementing organizational strategies.
• Leading proposal writing and brainstorming to enhance resource mobilization.
• Ensuring adherence to the St Joseph Development Programmes financial management policies and procedures.
• Supervising the compilation of information for internal and external auditors as and when such information is required.
• Dealing and coordination with external auditors and Preparation of the response for the issues highlighted in the management letter by the external and donor auditors in the satisfactory way and take steps in consultation with the director to avoid in the future.
• Reviews the Reconciliation statements, requisitions cross checking the completeness of the documents supporting transactions and submits to the Director of Programme
• Review the Payroll as prepared

Human Resource and Programmes Support
• Manage the recruitment, selection and hiring of SJDP staff, service contractors and short-term volunteers,
• Ensure that job planning and performance management system is established and implemented for all staff,
• Provide coaching and training to direct supervisors as necessary in all aspects of the HR function, including salary and benefits administration, recruitment and hiring processes, employee relations, etc.,
• Provide staff with orientation and updated guidelines
• Ensure that an effective training process is in place for staff, including training needs assessments, professional development plans, and monitoring the implementation of those
• In collaboration with Programme Heads manages employee relations by addressing demands, grievances, or other issues related to employee relations.
• Immediate supervisor, after the Deputy Director for all the projects under the development office
• Ensuring the preparation of weekly, monthly, quarterly, and annual narrative reports by the responsible project staff
• Working closely with the Director of Development Programmes to ensure that the annual report is filled and sent to donors
• Ensuring that relevant and essential information is availed to the Development Programmes Director.
• To promote an integrated effort in the administration of the office by cooperating with Management and staff to maintain effective and efficient relations with relevant staff, teachers, students, and community.
• To attend professional meetings as authorised by the Director.
• To provide information and reports to the board at the request of the Director.
• In collaboration with the Director, support current and future needs through the development, engagement, motivation, and preservation of human capital.

Required Qualifications / Abilities
• At least 3 years of documented Programme management experience
• University Degree, preferably degree in Economics, Finance and Account or related field
• Hands on Experience in Gender and HIV programming
• Clear Understanding of Women Empowerment Programming
• Ability to interact effectively
• Ability to work within strict deadlines.
• Be of high moral standing and personal integrity.
• Demonstrated team player with effective cross-cultural interpersonal skills.
• Strong people and performance management skills and experience.
• Excellent problem-solving, technical, managerial, and financial analysis skills and a focus on producing efficient, reliable, and cost-effective data solutions as an individual or as part of a team.
• Ability to multi-task.
• Excellent Knowledge of Finance and Account Packages
• Strong oral and written communication skills in English, including evidence of quality report writing and presentations.
