he United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-HABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services ( This post is located in the Conference Support Section, Division of Conference Services (DCS). Under the direct supervision of the Finance and Budget Officer, the incumbent will perform the following duties:


1. Prepare Cost estimates and expenditure reports for meetings: a) Liaise with the Chiefs of Sections and Units within the Division and with clients to collate the requirements of meeting and draft cost estimates for review. b) Draft memoranda of understanding between the Division and clients for approval by the Chief. Follow up with the clients. Monitor the projects account. Analyze each meeting cost, schedule, note and record for material deviation from cost estimates; c) Prepare final meeting accounts and invoices to the clients.2. Collate, analyze, verify and cost each element of services provided by the Division. Verify the accuracy of the amounts and the supporting documents; c) Maintain an updated record of the invoices for payment and data files on invoices for follow-up and reconciliation purposes; d) Respond to queries by clients, internal and external auditors.

3. Monitor budget implementation and recommend reallocation of funds as necessary. Monitor expenditures to ensure that they remain within authorized levels. • Monitor extra-budgetary resources, including review of agreements and cost plans, ensuring compliance with regulations and rules and established policies and procedures.

4). Ensure accuracy of bills/invoices and compliance with applicable UN payment rules and regulations; b) Review and analyze various performance reports for budgetary, financial monitoring, forecasting for reporting purposes.

5. a) Assist in drafting the Host Government Agreements; b) Draft correspondence in response to inquiries on administrative and financial matters. c) Identify diverse finance and administrative issues/problems and recommend appropriate line of action. d) Ensure that accurate and complete financial records, reports and internal controls are functioning, and all relevant records and audit trail is maintained.

6. Act as a team leader and train/guide other general service staff.

7 Perform other related duties as assigned.

Job Requirements
Required education
: Bachelor's degree

Required relevant work experience
: 10 years

Required languages:
English (Spoken: fluent | Written: fluent)
