Duties and Responsibilities for the Storekeeper
.
Maintain adequate electronic and manual records of receipts, and requests in all administrative Central Store, and manage all documentation, to maintain inventory main register, for cost containment and to confirm and assure proper stock levels.
Maintain and communicate to the procurement officer stock re-order level for all the items in the store to different departments accordingly.
Maintain store inventory records by updating Inventory Main Register (IMR) with incoming items (receipts), Inventory Requests /issuance records (items issued) and conducting a daily reconciliation and updating the Summary of Inventory Request Register (IRR); balances of which must be entered in the Inventory Main Register in the store.
Create, receive and maintain internal departmental store orders, and requisition for external purchases of required supplies in a timely manner.
Receive and store all supplies in a simple and systematic manner on racks, shelves, or in bins according to assigned inventory location.
Conduct a snap-shot stock take once every two weeks to ascertain the quantity of items available in the store.
Reporting any anomaly noted to the Supervisor immediately in writing within 24 hours.
Inspecting deliveries for the standard quality, damages or discrepancies and report any anomaly to the Supervisor. Any substandard deliveries must be reported and returned to the suppliers immediately and a report done in writing to the Supervisor.
Rotate stock and coordinate the disposal/donations of surpluses.
Consolidate process and coordinate required regular donations and generate an accurate “wish list” of other required supplies for the department.
Undertake comprehensive regular inventory audits and stock-taking exercises once every month in addition to the fortnightly snapshot individual stock takes.
Viewing CCTV daily feeds and sending the reports to the SMT immediately.
Producing honest CCTV feeds noted in a 24 hour system without leaving any traces of events. These should include kids’ movements, staff movements and actions, security guards patrol movements both at night and during the day etc.
Any unusual occurrences must be reported immediately through the approved form of reporting (Notable Event Report).
Performs other duties as may be assigned.
Storekeeper Requirements and Qualifications.
Familiarity with standard concepts and best practices in a storeroom or warehouse environment.
Knowledge of storekeeping and inventory control procedures, ICT (essential), record keeping and other clerical procedures, care and maintenance of equipment and supplies, safety and security practices.
Analytical mind with ability to make accurate mathematical computations.
Ability to determine the quality and quantity of materials received in relation to prescribed specifications, and to estimate departmental needs.
Excellent written and verbal communication skills.
Competencies in data entry, analysis, and management utilizing appropriate storekeeping software.
Keen attention to detail and ability to effectively manage time.
Skills to operate common office equipment.
Minimum of a Higher diploma/Diploma or equivalent in Stores Management with a strong ICT background.
3+ years of experience in storekeeping, inventory control, or record keeping with a one year experience in ICT preferably in CCTV.
A valid driver’s license is an added advantage.
Physical ability to lift and carry materials into and out of storage (Must be physically fit)
The incumbent will be in charge of the Central Store. He/ She will be in charge of keeping inventory of all the items/equipment in the store. The store will constitute all Administrative items (Catering, Academic, Admin Department, Spiritual Care e.tc). The person will be in charge of managing all the administrative duties such as CCTV viewing.
