Job Description Title: Project Manager Program: Hormonal Intrauterine Device (IUD) Scale up in Kenya Project Location: Nairobi Reports to: Regional Clinical Quality Technical Advisor Type of Employment:     Regular Part Time position   PROJECT SUMMARY The Kenya Hormonal IUD rollout and the scale-up plan were recently launched by the Ministry of Health to expand access to contraceptive choices in public health facilities across the country. The plan is designed for implementation in three phases over a period of three years. The hormonal IUD scale-up in Kenya project led by EngenderHealth with funding from the Clinton Health Access Initiative (CHAI) through the Catalytic Opportunity Funding mechanism is a one-year project. The project will be implemented at the national level and in nine counties, of Nyeri, Meru, Kisii, Kisumu, Nyandarua, Kiambu, Kirinyaga Uasin Gisu, and Kakamega. The project will contribute to building capacities of country level trainers to equip healthcare providers from selected level three to level six health facilities in four counties of Kirinyaga, Kiambu, Nyandarua, and Uasin Gishu with skills, attitudes, and knowledge to include the HIUD and DMPA SC in the range of methods offered at their respective facilities. Additionally, the project will work through a local partner (KMET), to support advocacy and demand-generation activities in all nine counties. Specifically, the project activities include support, procurement, and distribution of training mannequins, conducting training of trainers' workshops, supporting cascade training of health care providers, and post-training follow-up including coaching and project monitoring. Demand generation activities supported by the project and implemented by the KMET include sensitization of the health management teams and training of community health volunteers and community health persons on HIUD and DMPA SC printing and distribution of communication materials, and supporting radio talk shows. JOB SUMMARY The Program Manager supports the Regional Clinical Quality Technical Advisor to lead in coordinating the project management and day-to-day activities. The Program Manager's responsibility includes supporting planning, budgeting, monitoring, administration and logistics of the project. This position is also responsible for organizing meetings, coordinating consultant agreements, providing logistical support to counterparts, keeping track of activity budgets, and disseminating program materials. ESSENTIAL FUNCTIONS •Support the Regional Clinical Advisor for the planning and conducting of training events at the national and in selected counties including post training follow on activities •Develops detailed activity budgets and track team expenditures, reviews budget discrepancies, and leads the budget creation and revision processes. •Provides administrative support including scheduling and coordinating meetings, training workshops, and conferences, taking notes, setting up meeting rooms, making copies, travel planning, and other tasks as requested •Provide administrative support (as needed) to the local partner KMET to ensure timely reporting and prompt review of technical and financial reports submitted by the partner. •Tracks activity deadlines and drafts reports, service contracts, program work plans, and other related documents as needed •Develops agreements, contracts, disbarment schedules, project timelines, and work plans, activity reports, and financial and narrative reports during the contract period •Leads the monitoring and evaluation of each activity and report to verify that the documentation (registration sheets, attendance lists, pre-and post-tests, and programs) and the information requested in reports are entered on time, accurately, and are included in the activity reports •Conducts monthly updates of the Management Monitoring Tool as the activities are implemented and participates in the sharing of reports at meetings. •Leads the monitoring of the implementation of the national and county level activities and work plans by conducting a monthly review of plans versus results and documenting the variance. •Collaborates with the Clinical Quality Advisor about unit meetings, shared tasks, and logistics. •Develop budgets, financial reports, project expenditures, claims, and other financial issues and collaborate with the global support finance unit. •Assist the Clinical Quality Advisor in documenting requests, workshop planning and logistics, program implementation, and administrative issues •Manages relationships with external entities including consultants, travel agents, and representatives of partner reproductive health organizations •Performs other duties as assigned Qualifications REQUIREMENTS •Advanced/Higher Diploma or Bachelor's or other related field is a must. •Experience in basic accounting and financial management. •3 years' experience in a relevant position required •Experience in event planning/ coordination, administration, and/or public health timely production of event/activity reports is preferred •Ability to travel 30% ESSENTIAL SOFT SKILLS •Committed to EngenderHealth's core organizational values of reflection, inclusion, integrity, respect, and transformation •Working knowledge of computer software, Microsoft Office •Strong interpersonal and communications skills •Working knowledge of forecasting project budgets •Skilled in strategic planning, monitoring, and evaluation •Working knowledge of women's sexual and reproductive health and rights •Experience in managing a busy office. PREFERRED SKILLS, ABILITIES AND FUNCTIONS •Excellent interpersonal skills (e.g., active listening, cultural competence, responsiveness). •Strong written and verbal communication skills in English are a must. •Fluency in Swahili and English language is required.
