JOB TITLE:Driver/Office Assistant
LOCATION:Marsabit , Kenya
CONTRACT DURATION:7 (Seven ) months with possibility of extension
START DATE:March 2021
SALARY GRADE:According to SIF’S National Staff Salary Scale

POSITION SUMMARY:
Under the supervision of the Logistics Manager, the Driver/Office Assistant will provide transport to SIF Staff and goods with respect to SIF Policy and Kenya road regulation. You will also be required to take Office errands as directed by Logs Manager/designate
KEY DUTIES & RESPONSIBILITIES:
Under the supervision of the Logistics Manager, the position holder will provide transport to SIF Staff and goods in accordance with SIF Policy and Kenya road regulations or other requirements by the National Transport and Services Authority. The Officer will also be required to make Office errands as directed by Programs Manager in collaboration with the Logistics Manager.

RESPONSIBILITIES;

Transportation of staff and equipment under good security conditions
• When transporting SIF employees or goods, respect the country’s circulation rules and follow the logistics planning and instructions.
• Ensure all passengers (staff and expatriates, visitors…) have their safety belts fastened and other safety measures taken while on their journey.
• In case of an accident, immediately get in touch with the closest police station and duly inform the logistics department;
• Follow the instructions of the manufacturer and the SIF rules when using the vehicle;
• Keep all personal documents as well as those of the vehicle with you and check that they are valid (driving licence, insurance paper, order mission, SIF ID card, SIF charter & Waiver of liability form)
• Fill in the Log book every day according to SIF procedures and the Fuel Logbook when needed.
• Adhere to SIF security rules and regulations of the Vehicle.

Ensure maintenance of the Key responsibilities
• Solve minor technical problems.
• Ensure that the vehicle is kept clean and tidy all the time and in good working condition.
• Pick up and park SIF car from the indoor parking spaces allocated every time the car needs to be used and/or is returning from the field.
• Report to the logistics department for any major repairs to be carried out;
• Carry out daily checks before starting up the vehicle (oil level; water level; pressure of the tires)
• Note down fuel consumption in the record book in the morning and at the end of the day as well as any information concerning the maintenance of the vehicle;
• Ensure that the security tool box and first aid kit are complete and on board always.
• Ensure the fuel tank is always half full or more.
• Keep track of timely car insurance renewals

Prepare departures to the field
• Inspect and prepare the vehicle the day before departure so as to be on time;
• Prepare additional equipment to be brought along according to needs (fuel, stickers, flags, tools, medical kit).
• Ensure the good loading and unloading of the car and tight the goods in an appropriate way.
• Know the city plan, especially SIF staff houses, NGOs offices, UN offices … and relevant partners’ offices.
• Ensure that non SIF Staff sign the waiver form, when onboard SIF Vehicle all the time before the journey.
Behavior and reporting
• Wear on a daily basis SIF visibility clothes (if needed, according to the visibility rules).
• Behave in a respectful way to police officer and/or to military keeping in mind that you are representing SIF.
• Report to the logistics manager or substitute logistician any problem encountered on the road.

Office Assistant
• Provide assistant to the Office in the time working at the office, including but not limited to:
o Photocopying, scanning, filing, handling mail, delivering goods and correspondences, carrying parcels, packages, and delivery and collection of official documents as instructed by Programs Manager.
o Assisting in organizing and the meetings, training and workshop activities.
• Manage SIF relationship with other drivers/car rental companies ensuring driving standards, passenger safety requirements and driver courtesy and punctuality is achieved.
• Support Administrative & Logistics Officer in payment processing, RFQ processing/ Delivery follow ups and raising of the SPO’s as per SIF’s policy.
• Ensure timely replenishment of the Office Stock.
• Follow up the driver planning and scheduling using Outlook Calendar and register transportation requests in 'DRIVERS' - Deliver payment transfers to the bank and/or the suppliers, conduct cash purchases for office expenditure

Other
• Adhere to and ensure the team under her/his responsibility follows SIF administrative and logistical regulations and procedures.
• Manage SIF stock and facilitate replenishment under supervision of Administrative & Logistics Officer.
• Support in procurement of the Office supplies by following up on deliveries, Raise RFQ’s and SPO’s then share with the local vendors
Any additional related tasks requested by the line manager

Qualifications and Education Requirements
• At least 5 years of driving experience.
• A good knowledge on Marsabit county roads connection network.
• At least secondary school certificate of education.
• A valid Kenyan driving license.
• Recent certificate from the criminal investigation department.
• Strong written/spoken communication skills in English essential.
• Good knowledge of Microsoft office
• Previous experience in working with an INGO.
• A commitment to SIF’s mission and values.
